Depending on how an agency uses the Services, information entered into Carehandler may include records relating to care recipients, staff members, schedules, notes, documentation, and other operational information provided by authorized users.

Such information is collected and maintained on behalf of the applicable agency using our Services.

Carehandler handles this information in accordance with applicable contractual obligations, including Business Associate Agreements where applicable, and applicable privacy and security laws.

How We Protect Information

We implement administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction.

Our security measures include industry-standard practices for protecting information in transit and at rest, user authentication controls, and ongoing efforts to maintain the security and integrity of our Services.

While no method of electronic transmission or storage is completely secure, we use commercially reasonable safeguards to protect the information entrusted to us.

Data Retention

Carehandler retains information for as long as necessary to provide the Services and fulfill our contractual obligations with our agency customers.

Because Carehandler is used to maintain care documentation and related operational records, information is generally retained for at least seven (7) years, or for as long as the applicable agency maintains an active Carehandler account, whichever period is longer.

We may retain information for longer periods when required or permitted by:

Regulations
Court orders
Contractual obligations
Business Associate Agreements
Audit requirements
Fraud prevention
Security investigations
Dispute resolution
Enforcement of our agreements
Other legitimate business purposes

When information is no longer required, it will be securely deleted, destroyed, or permanently de-identified in accordance with our data retention and disposal practices.

Information stored in backups or archival systems may remain until those backups are securely overwritten or deleted according to our standard backup schedules.

Account Closure and Data Deletion

Carehandler does not currently provide a self-service account deletion feature.

Agency administrators may request account closure or request deletion of eligible information by contacting us at:

Individuals whose information is maintained by an agency using Carehandler should generally submit requests regarding access, correction, or deletion of their information directly to that agency.

Upon receiving a request, Carehandler will review it in accordance with applicable law, contractual obligations, Business Associate Agreements, and our data retention requirements.

We will respond to requests within a reasonable period of time.

Some information may not be deleted immediately, or at all, if Carehandler is legally or contractually required to retain the information for regulatory compliance, audit purposes, legal obligations, security, fraud prevention, dispute resolution, or other legitimate business purposes.

Closing an account does not automatically result in the immediate deletion of all associated information. Information that must be retained will continue to be stored only for the period described in the Data Retention section of this Privacy Policy.

Your Choices

You may:

Decline to provide certain personal information, understanding that some Services may not function properly.
Unsubscribe from marketing communications using the unsubscribe instructions included in those emails.
Contact us to update your contact information.
Request information regarding the personal information we maintain, subject to applicable law and contractual obligations.

Children’s Privacy

Our Services are intended for use by agencies and authorized users and are not directed toward children under the age of 13.

We do not knowingly collect personal information directly from children under 13.
